Firm staff and clients can both open the PDF of an invoice, working either from the Firm Portal or from the Client Portal. Only invoices emailed in the Aiwyn Invoice Email routing process (mail rule or direct send) will appear in the firm and client portals.
Invoices that were sent prior to implementing Aiwyn Payments will not have an associated PDF, though unpaid invoices that pre-date Aiwyn can still be paid by clients through the Client Portal. This is because the action of sending an invoice email through the Aiwyn Invoice Email routing process is how Aiwyn is able to get the Invoice PDF and associate it to the invoice data in the system.
Steps
- Confirm a PDF exists for the invoice. An invoice number shown in teal text means a PDF is available to view in the Firm Portal.
- No PDF available: the invoice either pre-dates your Aiwyn implementation or was not sent through the Aiwyn invoice email process, which is how the PDF gets ingested. The invoice is still viewable and still payable — only the PDF is missing.
- A newer version was issued: if a new invoice version was created and you resent the Aiwyn invoice email, the portals display the newest version of the PDF.
- In the Firm Portal, find the invoice from either section:
- From Clients: select Clients, search for the client by name or number, select the client name to open the client details, then select the Invoices tab.
- From Invoices: select Invoices, then search for the invoice number.
- In the actions column, select the three dots next to the invoice.
- Select View Invoice.
- In the Client Portal, open the PDF for the invoice itself:
- One invoice: select the on-screen preview to view it, or select the download option to save the PDF.
- Several invoices: select the three dots next to an invoice to view or download it, or select multiple invoices and select Export to generate a file containing all of them.
