With Aiwyn, you email your invoices from your practice management system. The invoice email is intercepted by Aiwyn using a mail rule that is put in place during implementation. The lesson below will outline how the mail rule works, who receives the Aiwyn 1-click invoice email, as well as how Aiwyn is able to display invoice PDFs to clients when they're viewing the invoice in their Client Portal.

Duplicate outbound invoice prevention
Some time ago we found that due to Azure irregularity which affects most if not all firms who operate in an Azure environment, Aiwyn will often receive duplicate inbound copies of an inbound invoice from a firm within a few seconds of each other. In normal circumstances, this would mean that the client would get 2 invoice emails, but we have a duplicate prevention mechanism to avoid this.
If Aiwyn receives an inbound email for the same invoice within 20 minutes of the original, we will block any additional outgoing emails to the client.
Even if the second inbound invoice has a different recipient, we will still not send it out. Example: Aiwyn receives an inbound email at 6:20 AM and then another inbound email for the same invoice at 6:38 AM. Because this second email came in 18 minutes after the first, we will not send it out to the client.
