The contact fields Aiwyn reads, and what each one is used for.

| Primary Contact | Flags the contact as the primary contact for an Engagement Letter. Labelled on the Firm Portal contacts list. |
| Billing Contact | Flags the contact as the billing contact for an Engagement Letter. Labelled on the Firm Portal contacts list. |
| Address (street, city, state, postal code) | Used as the client address on an Engagement Letter. |
| Email Address | The email address Aiwyn sends invoices and statements to, and the value used for automatic client portal account linkage. |
| Receives invoices | Whether Aiwyn emails this contact the client's invoices. Please note, if your firm uses a mail rule, then the recipients of invoices are determined by your practice management system at the time of emailing the invoice. In that situation, Aiwyn will respect any invoice email recipients you’ve indicated. |
| Receives statements | Whether Aiwyn emails this contact the client's statements. |
| Receives payment confirmation | Whether Aiwyn emails this contact a payment receipt email whenever a payment transaction has occurred for this Client. |
| Phone number | No function inside of Aiwyn. Nice to have if firm needs to make direct contact outside of Aiwyn. |
Key concepts
- Field mapping for these fields between your practice management system and Aiwyn occurs during your Aiwyn Implementation.
- If your firm is on Aiwyn Practice, these fields can be updated on a Contact record. If your firm uses a separate practice management system that is connected to Aiwyn, these fields and settings must instead be updated in your practice management system.
- A Contact can be both the Primary and Billing contact.
- There can only be one designated Primary and Billing contact per Client.
- This does not mean that only one Contact may receive invoices and statements
- These designations only apply if your firm uses Aiwyn Engagements, though you will see these designations if your firm only uses Aiwyn Payments.
