Get your client contact data into a state Aiwyn can use, before your data loads.
Steps
- Give every contact one unique email address, in its own email field.
- Never put two email addresses in a single email field. A field containing two email addresses breaks automatic client portal account linkage and makes the contact ineligible to receive an Aiwyn engagement letter.
- Put the contact's real first name and last name in the name fields, if your system has them. Do not use a company name, a role, or a placeholder where a person's name belongs.
- Where the same person is a contact on several of your client entities, use identical first name, last name and email address on every one. Consistent values are what let Aiwyn link those entities to a single portal user.
- If your system does not allow one contact record to be shared across multiple clients, create the contact on each client using those same identical values.
- Fill in each contact's type or category as accurately as your system allows.
- Indicate as able the contacts that are to receive invoices and/or statements within the confines of your practice management system.
Key concepts
- Contact categorization or contact type is used primarily if your firm is using Aiwyn Practice and/or Aiwyn Engagements.
- A data health check is provided during implementation as needed to help your firm identify and clean up contacts as needed.
- Automatic client entity linkage occurs when a client contact creates a client portal user account. Any other client with a contact using the same email will automatically be attached to the client portal user so that they may see and pay invoices for clients they are associated with.
- There is no limit to the number of contacts allowed per client.
