Help a contact who has created a user account access additional Clients when they sign into the client portal.
Before you start
- The contact must have created themselves a client portal user account. Firm staff cannot create a user account, change its name or email address, reset its password or delete it.
- Guests who pay without creating an account do not appear in Portal Users.
How a contact gets a portal account
The contact creates an account from a client-facing portal route, such as an invoice or statement email or your firm's portal URL.
When the account is created with an email address used by contacts on multiple client entities, Aiwyn will link those entities automatically. Use the steps below when an entity was not linked automatically or access needs to change.
Confirm or change a contact's portal access
- Log in to the Firm Portal.
- Select Payments in the left-hand menu (if using Aiwyn Practice, go to Accounts Receivable)
- Select Portal Users.
- Search for the contact name or email and select the row. The user account's linked client entities appear.
- Review the username and linked entities.
- The username is the email address used to sign in.
- Linked entities control which invoices and payment information the portal user can see.
- To add an entity, enter its name or client number in Link another client account, select the correct suggestion and select Add. Check the client ID shown in parentheses when clients have similar names.
- To remove an entity, select the X beside it. The portal user immediately loses access to that entity's invoices and can no longer pay them.
Linking an entity can expose its invoices and payment information to the portal user. Confirm the person's authority and the client ID before you add it.
Troubleshoot access
- The contact is not listed: The contact has not created a portal user account, or paid only as a guest. Ask the contact to create an account through a supported portal route.
- The username is wrong: It cannot be edited. Ask the contact to create a new portal user account with the correct email address, then link the correct entities to it.
- The contact can see the wrong clients: Add or remove linked entities from the portal user row.
- The contact must lose all access: Remove every linked entity. The portal account remains but has no client data to show.
- The contact needs to pay before access is resolved: Send a Quick Payment Link if your firm's process allows it.
