Quick Payment Links let a firm collect one-time payments without requiring the payer to access a specific Client Portal or pay an existing invoice. Use them for retainers, prepayments, consultation fees, event fees, and other payments collected before or outside the standard invoicing workflow.

When to use a Quick Payment Link
Use a Quick Payment Link when the firm needs to collect money without first creating an invoice or a client entity record in the practice management system. Common examples include:
- Retainers and deposits
- Prepayments for tax or advisory services
- Consultation or event fees
- Payments from a person or business that is not yet a client
Share links directly with the intended payer, such as by email. Do not use a Quick Payment Link as a public replacement for the Client Portal's invoice-payment experience.
Link types
Generic link
A generic link opens the firm's payment form without payer-specific values. The payer supplies the requested details and payment amount.
Pre-filled link
A pre-filled link carries selected values in the URL. Firm staff can include:
- An existing client
- Company name
- Amount
- Email address
- Payment description
Because these values are embedded in the URL, send a pre-filled link only to its intended recipient.
What the payer experiences
The payer opens the link without signing in, completes any fields that were not pre-filled, chooses an available payment method, and submits the payment. After a successful payment:
- An on-screen confirmation appears.
- The payer receives an emailed receipt.
- The firm receives an emailed receipt.
- The transaction becomes available in the firm portal for review and reconciliation.
Available payment methods follow the firm's Payments configuration.
How payments are recorded
A Quick Payment Link payment is a non-invoice payment.
- If an existing client was selected when the link was created, the payment is associated with that client.
- If no client was selected, the payment is recorded using the firm's configured placeholder client or appears unallocated, depending on the firm's setup.
- In Aiwyn Practice, use Accounts Receivable to review the payment and allocate it to one or more invoices when appropriate.
Current limitations
- Quick Payment Links do not currently have an individual expiration date.
- Firms cannot revoke or disable one issued link independently; disabling Quick Payment Links affects the feature at the firm level.
- A generic link can be reused, so it should be distributed intentionally.
- Pre-filled information is visible in the URL to anyone who receives the link.
