This article only applies to firms with more than one bank account connected to Aiwyn.
AutoPay eligibility controls whether invoices from a business entity can be included in AutoPay. The setting applies to the business entity, not to an individual client or invoice.
Why firms use AutoPay eligibility
A firm may operate separate legal entities for different types of work. For example, attest services may belong to one entity while advisory services belong to another. Each entity can have its own payout account and invoices.
By marking an entity ineligible for AutoPay, your firm can use AutoPay for eligible work while keeping invoices from the excluded entity outside automatic payment.
What happens when an entity is eligible
- AutoPay schedules can select invoices that belong to the entity.
- The invoices continue through the normal AutoPay process when they meet all other requirements.
- Eligibility alone does not guarantee that every invoice will be paid automatically.
What happens when an entity is ineligible
- AutoPay schedules do not select or charge invoices that belong to the entity.
- Clients can see a warning in the client portal when an invoice is not eligible for AutoPay.
- The invoice remains payable through another payment method available from the firm.
- Other invoices for the same client can still use AutoPay if they belong to eligible entities.
Important limitations
- The setting is currently managed by Aiwyn and is not self-service for firms.
- Eligibility applies to the entire business entity. It cannot be overridden for one client or one invoice.
- The setting does not split an invoice that contains work associated with different entities.
- AutoPay eligibility does not replace accurate business-entity and payout-account configuration.
Example
A client has two invoices:
- An advisory invoice belongs to an AutoPay-eligible entity.
- An attest invoice belongs to an AutoPay-ineligible entity.
The advisory invoice can be selected by the client's AutoPay schedule. The attest invoice is excluded and must be paid another way.
