This article only applies to firms with more than one bank account connected to Aiwyn.
AutoPay eligibility lets your firm exclude invoices from a specific business entity from automatic payment. This is useful when your firm separates attest and non-attest work and does not want invoices from one entity charged through AutoPay.
This setting is managed by Aiwyn. It is not available as a self-service firm setting.
Before you start
- Confirm that your firm has separate business entities for the work that should and should not be eligible for AutoPay.
- Identify the exact business entity that should be excluded.
- Confirm that each business entity is connected to the correct payout account.
- Decide how your firm will collect payment for invoices that AutoPay excludes.
Request an eligibility change
- Contact your Aiwyn representative or Aiwyn Support.
- Provide the name of the business entity whose AutoPay eligibility should change.
- Specify whether the entity should be:
- Eligible: AutoPay schedules can select invoices that belong to the entity.
- Ineligible: AutoPay schedules do not select or charge invoices that belong to the entity.
- Ask Aiwyn to confirm when the change is complete.
Verify the result
After Aiwyn confirms the change:
- Review an invoice that belongs to the affected business entity.
- Confirm that its AutoPay behavior matches the requested eligibility.
- Check that invoices from your other eligible entities continue to process as expected.
- Monitor at least one scheduled AutoPay cycle before expanding your use of the setting.
Change eligibility later
Contact your Aiwyn representative or Aiwyn Support with the business entity name and the requested state. Marking an entity eligible again allows its invoices to be selected by AutoPay; it does not necessarily collect previously excluded invoices immediately.
Troubleshooting
An invoice did not process through AutoPay
Confirm which business entity owns the invoice. If that entity is ineligible for AutoPay, the invoice must be paid another way.
An invoice processed from the wrong business entity
Contact Aiwyn Support with the invoice, client, and business entity details. Do not change the entity setup until Aiwyn has reviewed the issue.
