Firm staff can find any client who has created a portal user account, see which client entities that account can reach, and revoke or extend that reach — the three things the firm is actually able to do to a portal user.
Before you start, note what the firm cannot do. Clients create their own portal user accounts; neither your firm nor Aiwyn can create one, verify the email address, or reset the password for them. A portal user's name and email address cannot be changed after the account is created, and no portal user account can be deleted.
Any firm user who can see the Portal Users list can change a user's entity links. The View Payments permission applies to the firm's payment history page; it does not provide access to client payment methods. Whether clients can see payment history is controlled by a backend firm setting that Aiwyn Implementation and Support configure during Payments Implementation, based on the firm's preference.
Steps
- Log in to the Firm Portal.
- Select Payments in the left menu.
- Select Portal Users. Every client who has created a portal user account is listed here, including users with no linked client entities. Clients who paid as guests without creating an account do not appear.
- Search for the user, then select their row to see the client entities linked to that account.
- Carry out the change you came for:
- To give the user access to another client entity, or take one away — link or de-link the entity from this row. See "Link client entities to client portal users" for the field-by-field procedure.
- To correct a misspelled name or a wrong email address — you cannot. Ask the client to create a second portal user account with the correct details, then link their entities to the new account. They cannot complete sign-in to the account with the incorrect email unless they can verify that address; the verification email is sent there.
- To revoke the user's access entirely — remove every client entity linked to the account. The account remains in the Portal Users list, but the user can no longer see client invoices, make payments, or view that entity's signed engagement letters. This does not cancel active recurring payment plans or remove saved payment methods. If the firm wants to stop scheduled charges, deactivate the plan separately in the Payment Plans area; after all entities are removed, the client can no longer see or cancel the plan in the portal.
- If you removed every entity, tell the client what to expect: signing in again with the same email address prompts them to link to a client entity, which requires a Client ID plus any invoice number associated with that entity, entered exactly as written on the invoice. Their account will still appear in the Portal Users list. If they have recurring payment plans, those plans and their saved payment methods remain active until the firm deactivates the plans separately.
