Applies to Aiwyn Payments, and for firms using any practice management system EXCEPT CCH Axcess.
Use this process when one billing contact should receive several invoices in one Aiwyn invoice email, including invoices for different client accounts.
Before you begin, confirm that every invoice is posted, has an amount due greater than $0 and has its own PDF. Each PDF file name must contain your firm’s delimiter followed by the invoice number. See Requirements for an invoice to send.
If your firm uses a mail rule
Most firms send invoice emails through a mail rule configured during implementation.
- Create a new email in your practice management system or email application.
- Add the billing contact to the To field. The same person must be the intended recipient for every attached invoice.
- Use the subject line required by your firm’s mail rule, typically Invoice_Aiwyn. Check your Implementation Plan for the exact value.
- Attach one PDF for each invoice. Attach no more than 20 invoice PDFs per email. Confirm that every file name uses your firm’s delimiter and the correct invoice number.
- Send the email.
The mail rule redirects the message to your firm’s Aiwyn inbound email address. Aiwyn matches each PDF to its invoice and sends the billing contact one Aiwyn invoice email covering all of the invoices, with one button to pay them.
Troubleshoot a bulk invoice email
If the contact does not receive the email:
- Confirm that every invoice appears in the Firm Portal and is posted and unpaid.
- Confirm that every invoice PDF was attached and that each file name contains the correct delimiter and invoice number.
- For a mail-rule firm, confirm that the subject line matched the rule.
- Check the email delivery hub for a reason the email was not sent.
- If the requirements are correct, try a smaller batch or contact Aiwyn Support.
