Follow a collection statement from the trigger that creates it through staff review, client delivery, and payment access.
From trigger to draft
Aiwyn monitors outstanding invoices and creates collection statement drafts. A draft is not generated for a client with no overdue balance, a balance below the configured threshold, an exclusion, or statement emails disabled.
The client's aging bucket selects the template used for Subject, Headline, and Message. Generated drafts appear in Collections with a REVIEW badge if your firm has not yet automated statements.
Staff review and send
Only applies to firms who have not yet automated statements.
Firm staff review the balance, recipients, wording, and preview. They can edit Subject, Headline, and Message, add Cc or Bcc recipients, and attach a file.
From comes from Collections Settings, while To comes from the client's Billing Contact. Approve and Send dispatches the statement immediately. Skip Statement dismisses this draft and waits for the next trigger.
Client experience
The client contacts set to receive statements receives an email containing the reviewed wording, an aging table, and a Review & Pay button that links to the payment portal. The preview in Collections represents the client's statement.
After the send
The client row updates to reflect the send. Detailed delivery outcomes, including bounces, are available under Clients & Contacts → Email Delivery with Email Type = Collection Statement. The next statement is generated when the trigger runs again.
