Review one automatically generated statement, send yourself a test, and then send the statement to the client. This is the guided path for someone using Collections for the first time and for firms not yet on Automated Statements.
Clicking Approve and Send sends a real email to the client. To review the workflow without contacting a live client, use Send Myself a Test and stop before approval.
Before you start, confirm your firm user permissions include View Collections, View the Collections module, and Edit and send statements.
Send your first statement
- Open Collections. The left panel shows clients with collection work.
- Choose a client row with a REVIEW badge. For a first run, use a client whose balance is easy to verify.
- Open the row to display the statement.
- Review the aging buckets from Current through Over 120 days Past Due. Confirm Total Balance is correct.
- Check From, To, Cc, and Bcc. To comes from the client's Billing Contact. Stop and correct it if it is wrong.
- Review Subject, Headline, and Message. For this first run, leave the generated wording unchanged so you can assess the template.
- Review the statement preview, including the aging table and Review & Pay button. You do not need to add an attachment for this first run; attachments are rarely used for statements.
- Click Send Myself a Test. The test goes to the email address on file for your firm user account. Compare the email in your inbox with the preview.
- Return to Aiwyn and click Approve and Send. The statement is sent immediately.
- Confirm the client row updates to reflect the send.
Next steps
- Check delivery under Clients (if on Aiwyn Practice, Clients & Contacts) → Email Delivery.
- Use Skip Statement or disable statement emails when a statement should not be sent.
- Use the Collections list fields and filters to work through additional clients.
