Renewals are how last year's engagement becomes this year's without rebuilding it. This lesson takes one executed engagement through the renewal wizard from start to finish. Allow about ten minutes.
You need one executed engagement that has not already been renewed. Any will do — pick a small one.
Open the wizard
- Go to Engagements in the firm portal.
- Find an engagement with status Executed.
- Select it, then select Renew.
The screen splits in two. On the left is the original engagement you chose. On the right is a new draft, prefilled from it. You will work down the right-hand side, checking it against the left.
Step 1 — engagement details
Change the fiscal year to the year you are renewing into.
Do this first. The fiscal year decides which projects you are offered later, and if you leave it on last year's you will spend step 3 looking at last year's work.
Everything else here can be changed too, with one exception: the primary client is fixed on a renewal.
Step 2 — clients
The primary client is checked and cannot be removed. Every other client in its client group is listed alongside it.
Add any client you need. Adding one also makes that client's projects available in the next step.
Step 3 — scope of services
This is where the side-by-side view earns its keep. Last year's projects and prices sit on the left. On the right, you choose this year's.
Add the appropriate available projects.
Select Edit on any project to set its details, price and prepayment amount.
Prepayments do not copy. If this year's engagement needs one, edit the project to add the prepayment amount.
Step 4 — engagement letter
Preview the new letter against last year's.
On a dynamic letter template the new letter is generated from the current template against this year's data, so its blocks may show different variants from last year's if the client's type, projects, prices or custom fields have changed, and any block you flattened or overrode last year starts clean. Turn on Highlight dynamic content to see which paragraphs were decided by data before you repeat a customization.
Finish
Select Review & close.
What you should see
Your renewal is now on the main Engagements page with status Draft. Two fields record what happened:
- The original engagement shows a Renewed date.
- The new engagement shows the Prior engagement it came from.
Both appear in the engagements table and in the engagement details panel.
From here it behaves like any other draft. Send it when you are ready.
