Summary
Before Go Live, Aiwyn requires the completion of various tests in order to ensure data connectivity and configurations appear and function as desired.
Your firm's specific Payments & Collections testing plan is located in your Implementation Plan, which is shared with you during initial kickoff and remains accessible throughout the remainder implementation.

Testing Requirements
Before testing can be performed, the following items must be configured, available, and in place:
- Aiwyn Connection to Database is Complete
- Configuration Items and Settings Deployed
Testing Attendees
- IT Team Member who can create/enable Exchange Admin Mail Flow Rules (unless you use CCH Axcess or your Firm is not using Mail Rule)
- Finance Team Member (or lead) who can Create, Post, and Send Invoices via email from Practice Management System
- Finance Team Member (or lead) who can Create and Edit Clients and/or Contacts in Practice Management System
- Finance Team Member (or lead) who can post/apply a Check Payment to a Test Invoice in Practice Management System
- Your Firm's Main Point of Contact(s) for Finance, and Aiwyn (if different)
This is a working live session, requiring one or more of your staff to share their screen showing your actual Practice Management System connected to Aiwyn, as well as other things such as Outlook email inbox, and the Aiwyn Client and Firm portals as directed by your Implementation Manager during the session.
Generally, this session is best attended by those from their own desktop computer station so that you can share your screen and be on hand to help lookup things as requested. Joining from a large conference room may not provide the most ideal setting for this type of session. Joining only from a mobile device will not be possible for this session (for audio input/output is ok).
Testing Objectives
- Setup Mail Rule (excluding CCH Axcess) - IT lead
- Create/Post/Finalize $1 Test Invoice in Practice Management System - Finance lead
- Send Test Invoice from Practice Management System
- Make payment to test invoice in Client Portal
- Firm staff: Create Client Portal User
- Create/Post/Finalize two (2) more invoices for test client, $2 and $3 respectively
- Apply, then unapply/void/debit memo payment to test invoices in Practice Management System
- Reverse/Void/Delete/Write Off a test invoice Practice Management System
- Create Test Client 2 in Practice Management system
- Create/Post/Finalize $1.50 Test Invoice for new test client in Practice Management System
- Send Test Invoice to Test Client 2 from Practice Management System
- Firm Staff able to login to Aiwyn Firm Portal
- Setup Collections in Aiwyn Firm Portal
- Confirm Payment Export Files sends (2 days after test payment) to firm's Payment Notification Email recipient(s)
- Review Staged Statements for accuracy (1 day after Collections setup) in Aiwyn Firm Portal
- Confirm test payment was deposited as expected (2 days after test payment) in your Firm Bank Account connected to Aiwyn via stripe.
Setup for Testing
- Create a brand new test client in the Practice Management System 1 day before the session. No sooner, no later
- Create contact(s) for test client, using real email contact information for the participating firm staff
- Have ability to create/post/send new invoices for the test client during the session (unless your Practice Management System is CCH Axcess)
- If your firm is on CCH Axcess, you are requested to create a few small dollar invoices one day before the scheduled testing session
- Fill out other details on the Client record including Office, Partner, Manager, address, etc. The more details the better!
- You may need to create Projects and/or Time entries for the test client before the testing session, in order to create, post, and send the new test invoices during the session.
- Save your Firm Portal URL to your browser's favorites for easy access
- Ensure you have access to your firm's Implementation Plan
- Have on hand a Firm Credit Card to make a test payment with during the session
