Viewing invoice PDFs

Invoices emailed through the Aiwyn invoice email process have a corresponding invoice PDF viewable from within the Client and Firm Portals.

Invoice PDF details

When you send the invoice via email through the Aiwyn invoice email process, the PDF of the invoice is ingested and associated to the invoice data within the portals.

Aiwyn is not scanning the contents of the invoice PDF itself. Aiwyn does not change the content of the invoice PDF.

Invoices that pre-date Aiwyn implementation or those not sent through the Aiwyn invoice email process will still be viewable and payable in the portal, however no PDF will be available for view or download because one was not ingested. The invoice emailing process is the method by which the PDF is ingested and made available.

If a new invoice version is created and you resend the Aiwyn invoice email, the newest version of the invoice PDF is displayed in the portals.

There are two ways to view the PDF of a given invoice within the firm portal, from the Clients section, and from the Invoices section. In the Client Portal, a client can view the invoice PDF when viewing the invoice in order to pay, or even view the PDF of paid invoices - as long as it was originally sent through Aiwyn.

 

Viewing PDF in Clients section of Firm Portal

  1. Log into the Firm Portal and select the Clients section
  2. Search for client by name or number
  3. Select the client name to open the client details
  4. Select the Invoices tab of the client details page
  5. An invoice number displayed in teal text means an invoice PDF is available to view in the portal
  6. Under the actions column, select the three small dots next to the invoice you which to view
  7. Select "view invoice"
  8. A separate screen will pop up displaying the ingested invoice PDF

Viewing PDF in Invoices section of Firm Portal

  1. Log into the Firm Portal and select the Invoices section
  2. Search for the invoice number of the invoice PDF you wish to view
  3. An invoice number displayed in teal text means an invoice PDF is available to view in the portal
  4. Under the actions column, select the three small dots next to the invoice you wish to view
  5. Select "View Invoice"
  6. A separate screen will pop up displaying the ingested invoice PDF

Viewing PDF in Client Portal

Clients, or firm staff in a Client Portal, may view invoice PDFs for invoices originally sent through Aiwyn. Remember, even if the invoice was not sent through Aiwyn, and thus no PDF available, the invoice itself may still be paid.

Viewing one invoice

Select the on screen preview to view the invoice. Or select to download the invoice PDF.

Viewing all invoices

Select the three small dots next to the invoice to view or download. Select multiple invoices and select "export" to generate a file with all invoices.
