Summary
Quick Payment Links is an optional feature that allows firms to securely collect payments from a payer without requiring them to access their Aiwyn Client Portal.
A visit to the link takes the payer to a clientless portal in order to make a fast payment. The payment can then be associated with a designated client entity of your choosing in your Practice Management System if desired.
This feature is ideal for:
- Collecting ad hoc payments (e.g., retainers, event fees, company swag)
- Quick and simplified payment collection without need for client and/or invoice generation
- Use cases that don’t require formal client onboarding in Practice Management System
⚠️These links should be shared privately (e.g., via email) and not posted publicly on firm’s website as the client's option to "pay invoice". It is not intended to take the place of your traditional Aiwyn Client Portal experience.

Enable Quick Payment Links
During Implementation, your firm is given the option to enable Quick Payment Links in your system. If your firm is already live with Payments & Collections and would like to enable Quick Payment Links, click here to fill out the request form.
To use Quick Payment Links, create a placeholder client entity in your Practice Management System. This is the Client ID that all non-client payments made with a Quick Payment Link are assigned to when viewing the payment in Aiwyn Firm Portal or viewing it in Aiwyn payment reports.
Additionally, during setup please identify the firm staff for whom you would like to have access to the Quick Payment Links settings area within your Aiwyn Firm Portal.
Once enabled for your system and desired firm staff, you can view the Quick Payment Links settings area within your Aiwyn Firm Portal.
Access Quick Payment Links
Steps to access Quick Payment Links
- Go to the Firm Portal
- Navigate to: Settings > Payment Links
- You can toggle the "Enable Payment Links" on or off to control it's use at your firm
- Select "Create Payment Link" to access the base link
Share Quick Payment Link
If you do not want any pre-filled payment information, simply click the "Copy Link" option and you can provide this link to your desired payer for whatever purpose is needed where a non-client payment is appropriate.
Customize Quick Payment Link
You can program in additional payment or payee information to further customize the payer's experience.
1. Select the checkbox "Pre-fill payee information".
2. Enter any details desired, including:
- Select a Client
- Company name
- Amount of payment
- Email of payer
- Payment Description
3. Once customized, select "Copy Link" and share that with the payer directly.
4. Select "Reset" button to clear any customized values or close the "Share payment link" box.
Client Experience
The visitor to the Quick Payment Link (e.g. the "payer") must enter any details not already pre-filled, as well as enter their desired payment method.
Once the payer completes the payment, an on screen payment confirmation displays and will also send the payer (and the firm) an emailed payment receipt.

Reconciling Quick Payments
At its core, a payment made with a Quick Payment Link is considered a Non-Invoice Payment and will display on your Non-Invoice Payment file along with any other traditional "alternate" payments.
No Client Selected
If no client was selected when generating the Quick Payment Link, then that payment is attributed to the placeholder client entity you've designated for these payments to go to. This is seen in a few places, including:
- In the Payment history of the Firm Portal
- On the payment file as the "Client ID" for this payment
- On the firm facing payment receipt email (CLIENTNAME), using the client entity name entered in the Practice Management System for the placeholder client
Client Selected
If a real client in your Practice Management System was selected when generating the Quick Payment Link, then that payment is attributed to that client instead of the placeholder client. It will appear as a typical non-invoice payment made through Aiwyn in your system and reporting.
