Understanding Where Report Data Comes From
Reports display processed data from Aiwyn, your practice management system, and other connected source systems. Data is automatically ingested and processed by Aiwyn, then made available in Reports for analysis. Aiwyn does not manually adjust or override data received from external systems, and values reflect the most recent data successfully processed. Minor differences between Reports and practice management system-generated reports are expected.
Understanding Data Flow Into Reports
You can see when your data becomes available in Reports by following the sequence it moves through from your system into Aiwyn.
Your practice management system sends data to Aiwyn, and the sync frequency depends on your integration.
Most integrations sync every 5-10 minutes.
CCH Axcess (via DAU) typically syncs every 4-24 hours, depending on system load and bandwidth.
Aiwyn performs data processing after receipt, where the data is processed and streamed into the reporting data warehouse, which typically completes within approximately 60 minutes.
Reports query the data warehouse directly, and the data usually appears in Reports within minutes after it reaches Aiwyn.
Identifying Your Source of Truth
- If your firm uses Aiwyn Practice as its practice management system, Aiwyn is your system of record, and Reports reflect real-time activity.
- If your firm uses an external practice management system, that system remains the authoritative source of record, and differences may occur due to timing, data scope, or filtering.
Understanding Why Report Values May Differ From Your Practice Management System
Most common causes of reporting variances occur due to:
- Data scope differences, where some records, such as inactive clients or excluded client types, are not ingested into Aiwyn as decided by your team during implementation.
- Timing differences, as data passes through multiple stages before appearing in Aiwyn.
- Filter settings, where default filters in Reports differ from those used in external practice management system reports.
