Build a reusable rate structure your firm can assign to Work & Expense Codes by the staff role performing the work. Only one Rate Card may be Active in your system at one time.
Steps to create a new Rate Card
- Go to Settings → Billing → Rate Cards
- Select New Rate Card... in the upper-right area
- Choose to create a new Rate Card Based on Existing Rate Card or choose to create a New Rate Card
- Enter Rate Card Name
- Enter Effective Date → this will be the date the rates are active in your system
- Enter Basic Hourly Rate → what the client gets billed (the value entered here will automatically populate each of the Staff Role Rate Types)
- Enter Basic Hourly Cost → what the work costs the firm internally (the value entered here will automatically populate each of the Staff Role’s Employee Costs)
- Select New Rate Card… button to create the new Rate Card
- Proceed to edit the Rate Card draft
Steps to edit a Rate Card
- Your firm’s current Staff Roles are visible by default
- Select New Staff Role… button to add additional Staff Roles to the Rate Card if desired
- Adding a new Staff Role here will create this as a new Staff Role (available to assign to Staff) for your system
- The Rate Card will have the default Rate Types columns of Standard, Premium, and Default
- These may be deleted and replaced with other Rate Types
- Select New Rate Type to create an additional Rate Type, once created it will display as a new column on the Rate Card.
- For each Staff Role and Rate Type, the hourly rate to be billed and the hourly cost of the employee are prefilled.
- Edit the rate to be billed across all Rate Types and for each Staff Role as needed by select the dollar value and entering your own desired value.
- To create an exception for a given staff member, first find their Staff Role and then select Add Staff Override
- Only staff assigned to the given role are displayed in the drop down
- Choose the staff name you want to enter separate rates for based on Rate Type
- Select Save Rate Card to save the changes.
- The Rate Card will go into effect on the date entered in the Effective Date field, and any other active Rate Card will automatically become disabled.
