Firm staff with Quick Payment Links access can generate a secure Aiwyn payment link and insert it into an Outlook email without leaving the inbox.
Steps
- Confirm your access before you start. Quick Payment Links must be enabled for your Aiwyn Payments account, and your staff access must include permission to create and send Quick Payment Links. Availability is controlled by firm-level permissions.
- In Outlook, go to Home → Get Add-Ins, search for Aiwyn, and select Add.
- Compose a new email and confirm the Aiwyn icon is in the Outlook toolbar.
- Icon not visible: restart Outlook after installation.
- Still not visible: confirm you are on a supported Outlook version, such as Microsoft Outlook 2019 or Microsoft 365.
- Still not visible: confirm you are in a supported environment — Outlook Web App, Outlook for Windows, Outlook for Mac, or Microsoft 365.
- Select the Apps icon in the message window — four small squares at the top right — then select Aiwyn.
- Enter your firm ID and sign in with your Aiwyn credentials. Your firm ID is the first part of your Aiwyn URL: for
firm.aiwyn.ai, the firm ID isfirm. - Choose the link type:
- Default link — a general payment link for ad-hoc payments.
- Custom link — pre-filled with client details. Enter the client name, amount, email address, and payment description.
- Replace the displayed link text with client-friendly wording, such as "Click here to submit your payment".
- Select Insert Link to add the payment link to the email body.
- Send the email.
- Track the payment in your firm's standard non-invoice payments reporting, where Outlook-generated payments appear alongside links created in the Aiwyn portal.
- If you later remove the add-in, you can no longer create new Quick Payment Links from Outlook, but previously sent emails and existing payment links continue to work.
