This page explains how a payment reaches Aiwyn when a client pays through an accounts payable automation service such as bill.com or AvidXchange, for firm staff who bill clients that route invoices through an AP platform.
There is no integration — the AP platform's operator pays like any other payer
Aiwyn does not connect to AP automation platforms. Nothing is exchanged between Aiwyn and bill.com, AvidXchange or their equivalents, and no file is imported or exported between the two systems.
What happens instead is simpler and entirely manual: the representative operating the AP automation service opens the firm's Client Portal and pays the bill using the payment-without-an-invoice function, in the same way any payer would who is settling an amount that does not correspond to an invoice already loaded in Aiwyn.
From Aiwyn's side the payment is indistinguishable from any other portal payment made without an invoice; the AP platform is simply the place where the client's own approval workflow happened before someone typed the payment in.
This scenario is not limited to a certified list of platforms. Because there is no integration to certify, the platform a client uses is irrelevant to Aiwyn and the only requirement is that a human on the client's side can reach the Client Portal and enter a payment.
Consequences for matching and reconciliation
Because the payment arrives as a payment without an invoice, it carries whatever identifying information the AP representative chose to type into the portal and nothing else. That matters more here than for an ordinary portal payment: an AP automation payment is frequently a single lump sum covering several invoices, approved by someone in the client's finance team who has no relationship with the firm and no reason to know how the firm's invoice numbering works.
Fees and payment method
AP platforms commonly disburse by paper check or by their own ACH rails, and a representative entering a card payment in the Client Portal would attract the firm's normal card processing fee and, if the firm passes surcharges on, present that surcharge to a payer who may have no authority to accept it.
Support for the AP representative
A firm that subscribes to Live Chat extends that channel to the AP automation representative, who can raise questions with Aiwyn support through chat while completing the payment. This is the only firm-side configuration that bears on this scenario, and it is a subscription the firm either holds or does not; nothing is enabled or configured specifically for AP automation.
