Record one check payment against one open invoice and confirm that the invoice moves to Paid. This walkthrough introduces the core Accounts Receivable workflow for firm staff.
Only follow this walkthrough with a real transaction if your firm has approved it. Transactions are permanent records. Ask your administrator whether a demo firm, test client, or sandbox is available for practice.
Before you start
You need:
- Permission to view Accounts Receivable and record a transaction
- A client with at least one open invoice
- A bank account configured for your firm
- The check number, received date, deposit date, and payment amount
Record and allocate the payment
- Select Accounts Receivable in the left sidebar. The Transactions tab opens by default.
- Note the count on the Unallocated badge. You will check it again after saving the payment.
- Select the chevron on the right side of New transaction, then select Payment....
- In Client, search for and select the client. Their open invoices load in Allocation.
- Leave Payment method set to Check.
- Select the Bank account receiving the payment.
- Enter the check number in Reference.
- Set Transaction date to the date the check arrived.
- Set Deposit date to the date the check was deposited.
- In Total payment amount, enter the exact remaining balance of one open invoice.
- In Allocation, select that invoice. Confirm that Allocated amount equals the payment total and remaining is zero.
- Select Save & Close.
Confirm the result
- Find the new payment in the Transactions list.
- Confirm its Allocation indicator is filled green, showing that the full amount is allocated.
- Open Invoices and confirm that the invoice now appears as paid.
- Check the Unallocated badge again. A fully allocated payment should not increase the count.
