Aging buckets group outstanding invoice balances by how long they have remained unpaid, based on the invoice due date. Aiwyn intentionally uses different bucket sets in different parts of the product, so use the labels for the screen or report you are working in.
Collections and statements
| Bucket | Contains |
|---|---|
| Current | Amounts not yet past due |
| 1–30 days Past Due | Amounts 0 to 30 days past due |
| 31–60 days Past Due | Amounts 31 to 60 days past due |
| 61–90 days Past Due | Amounts 61 to 90 days past due |
| 91–120 days Past Due | Amounts 91 to 120 days past due |
| Over 120 days Past Due | Amounts more than 120 days past due |
| Total Balance | The sum of all outstanding amounts; this matches $ Balance on the client row |
This six-bucket set is fixed and cannot be configured by a firm. The buckets appear in:
- The aging summary on the Collections statement detail panel
- Statement previews and statement emails
- Settings → Collections Settings, where each bucket can have its own subject, headline and message template
- Collections reporting, including payment-rate analysis by bucket
A statement's messaging is selected from the bucket containing the client's oldest outstanding invoice. As that invoice ages, a different template can be used to make the wording more urgent.
Outstanding AR report
The AR Aging Summary in Reports → Outstanding AR uses seven past-due bands, with Current shown separately. Current contains invoices whose due dates have not yet occurred. The 0–30 days band begins on the invoice due date (day 0). This model is intentionally separate from the six-bucket Collections model:
| Bucket | Contains |
|---|---|
| 0–30 days | Outstanding AR aged 0 to 30 days |
| 31–60 days | Outstanding AR aged 31 to 60 days |
| 61–90 days | Outstanding AR aged 61 to 90 days |
| 91–120 days | Outstanding AR aged 91 to 120 days |
| 121–150 days | Outstanding AR aged 121 to 150 days |
| 151–180 days | Outstanding AR aged 151 to 180 days |
| Over 180 days | Outstanding AR aged more than 180 days |
The same seven aging fields are available in reporting warehouse views such as ar_office_fact_view. In that view, aging_current represents outstanding AR that is not yet past due; the remaining fields are aging_31_60 through aging_over_180.
How balances move between buckets
An outstanding invoice balance moves into an older bucket as time passes after its due date. Only outstanding invoice balances are considered in the aging buckets; credit adjustments, write-offs and refunds are not distributed across them.
Only payments allocated to invoices reduce AR aging totals. Unallocated payments remain separate from invoice balances until they are allocated, and the Outstanding AR report shows them as their own KPI rather than as an aging band.
