This article explains how to open a Client Portal from the Clients tab, confirm you are acting on behalf of the correct client, and safely use or exit the portal. It is intended to help team members access client-specific functions efficiently while following permission requirements.
Key Steps
1. Confirm you have permission to access the Client Portal
- Verify that you have the correct permissions before attempting to access any Client Portal.
- If access is not available, request the appropriate permissions before continuing.
- Only proceed when you are authorized to act on behalf of the client.
2. Open the Client Portal from the Clients tab
- Go to the Clients tab in the Firm Portal.
- Locate the client whose portal you need to access.
- In that client’s row, under the Action column, click the three small dots.
- Select Go to Client Portal from the menu.
3. Select the reason for access and continue
- A prompt will appear asking why you are accessing the Client Portal.
- Enter or select the appropriate reason for access.
- Click Continue to proceed.
- A new tab will open with the Client Portal.
4. Verify you are acting as the client
- Check the top banner in the new tab to confirm you are acting as the client.
- Use this banner as a reminder that actions taken in this session are on behalf of the client.
- Review the portal carefully before making any changes or transactions.
5. Perform client-available actions as needed
- Use the portal to complete tasks the client would normally be able to do.
- Common actions may include:
- Making a payment on the client’s behalf
- Viewing payment history, if payment history is enabled
- Adjusting settings such as auto-pay or recurring payments
- Complete only the actions needed for the client’s request.
6. End the Client Portal session and return to the Firm Portal
- When finished, use the option at the top of the portal to end the session.
- Close the browser tab after ending the session.
- Return to the Firm Portal once the Client Portal session is closed.
Cautionary Notes
- Ensure you have the correct permissions before accessing any Client Portal.
- Only perform actions that are authorized for the client and your role.
- Be careful when making payments or changing settings, as these actions affect the client account.
- Always end the session before closing the tab to avoid leaving an active impersonation session open.
Tips for Efficiency
- Confirm the correct client before opening the portal to avoid accessing the wrong account.
- Keep the reason for access concise and accurate when prompted.
- If you frequently access Client Portals, familiarize yourself with the location of the three-dot Action menu and the End Session control.
- Review payment history and settings only when needed to reduce unnecessary navigation.
