Route a letter through a reviewer and an approver before it can be sent.
Review and approve is optional and off by default. Contact support@aiwyn.ai or your Implementation Manager (if you are in Implementation) to have it enabled.
Send a draft for review
- Finish the engagement details and the letter content.
- Select Request review.
- Add an internal note for the reviewer if it will help.
- Confirm. The status changes to Pending review and the letter is assigned to the reviewer.
Review a letter and pass it to the approver
- Find the letter under Assigned to me with status Pending review.
- Make any changes you need — engagement details, clients other than the primary client, primary and billing contacts, signatories, and letter content your permissions allow you to customize. On a dynamic letter template, turn on Highlight dynamic content to see which paragraphs were decided by the engagement's data. A user with the Edit Customized Document permission can flatten any block—even a locked block—to change its wording on this letter. To prevent a user from editing a letter, including flattening content within a locked or unlocked block, remove that permission. Leave Edit on a block alone unless you mean to change the template for every letter.
- To send it back to the drafter, set the status to Draft and select Send back to draft.
- To move it forward, select Request approval. The status changes to Pending approval.
Approve a letter
- Find the letter under Assigned to me with status Pending approval.
- To send it back to the drafter, set the status to Draft and select Send back to draft.
- To approve it, select Mark ready to send. The status changes to Ready to send and the assigned sender can now send it.
Reassign a role
- Open the engagement.
- On the Engagement details panel, select Edit roles.
- Choose any active staff member for reviewer, approver or sender.
The drafter cannot be reassigned — it is always the person who created the engagement.
