Firm administrators can review Recurring Payments and AutoPay across clients from the Firm Portal. To create or change a plan, open the client's Client Portal.
Recurring Payments and AutoPay are different
- Recurring Payments are scheduled payments with a predefined amount, frequency, start date, and end date. They are not tied to posted invoices.
- AutoPay pays a client's outstanding invoices once a month. The client can choose to have AutoPay pay all outstanding invoices each month or set a maximum monthly amount.
When a client turns on AutoPay, any existing Recurring Payments plan must be disabled.
Where to manage Recurring Payments and AutoPay
| Location | What it shows | What you can do |
|---|---|---|
| Firm Portal, Payments tab, Payment Plans tab | Recurring Payments and AutoPay across clients | Review plans and open a client's plan in the Client Portal |
| Client Portal, Settings tab | Recurring Payments and AutoPay for one client | Create or modify a Recurring Payments plan, or manage AutoPay |

Manage a Recurring Payments plan
A Recurring Payments plan can include:
- Recurring Payment name
- Account
- Amount
- Frequency
- Start date
- End date
- Payment method
- Receipt recipients
Firm users who can access a client's Client Portal can modify the plan's payment frequency, amount, or payment method.
To open a client's Recurring Payments plan from the client record:
- In the Firm Portal, select Clients.
- Find the client.
- In the Actions column, select the three dots, then select Client Portal View.
- In the Client Portal, select Settings.
- Find the Recurring Payments plan.
You can also open an existing plan from the Firm Portal's Payments tab. Select Payment Plans, open the plan's Actions menu, then select Edit client's recurring payments.
Changes to a whole Recurring Payments plan send automatic emails to the firm and client. Deleting a plan sends the same emails as updating it. No email is sent when a plan reaches its scheduled end or when one scheduled payment is skipped or canceled.
Skip one scheduled Recurring Payment
Skipping affects only the selected scheduled payment. It does not change the rest of the Recurring Payments plan.
- Open the client in Client Portal View.
- Select Payments.
- Find the scheduled Recurring Payment.
- Select the three dots, then select Skip.
- Select Save Changes.
A skipped payment cannot be restored, its amount is not added to later payments, and no notification is sent.
Manage AutoPay
AutoPay is configured for the client account rather than for selected invoices. Each client account needs only one AutoPay plan.
An AutoPay plan includes:
- The day of the month AutoPay processes
- Whether to pay all outstanding invoices or use a maximum monthly amount
- A saved or new payment method
- Additional email recipients for AutoPay notifications
On the processing date, AutoPay pays eligible unpaid invoices by due date, oldest first. Processing fees and international card fees count toward the maximum. AutoPay does not pay late fees and cannot be limited to selected invoices.
For firms with multiple business entities, AutoPay can include invoices across eligible entities. Invoices that belong to an AutoPay-ineligible entity are excluded and must be paid another way.
